Cancellation Policy

At Dental Hygienist London, we understand that sometimes appointments need to be changed or cancelled. We have implemented this policy to ensure we can continue to provide efficient service to all our patients and minimise wasted appointment time.

2. Cancellation Notice Period

We require a minimum of 48 hours' notice (2 full working days) for any appointment cancellations or rescheduling requests.

  • Cancellations made with 48+ hours notice: No charge
  • Cancellations made with less than 48 hours notice: Cancellation fee may apply
  • Missed appointments (no-shows): Full cancellation fee applies

4. How to Cancel or Reschedule

You can cancel or reschedule your appointment through:

Please ensure you receive confirmation of your cancellation. Leaving a voicemail or sending an email outside of business hours does not guarantee receipt before your appointment time.

5. Late Arrivals

We understand that delays can happen. However, to maintain our schedule for all patients:

  • Up to 10 minutes late: We will try to accommodate you, but treatment time may be reduced
  • More than 10 minutes late: Your appointment may need to be rescheduled, and a cancellation fee may apply
  • More than 15 minutes late: Will be treated as a missed appointment

6. Exceptions

We understand that genuine emergencies occur. Cancellation fees may be waived at our discretion in cases of:

  • Sudden illness (medical evidence may be requested)
  • Bereavement
  • Accidents or emergencies
  • Severe weather conditions affecting travel

Please contact us as soon as possible in these circumstances, and decisions will be made on a case-by-case basis.

7. Repeated Cancellations

Patients who repeatedly cancel appointments at short notice or fail to attend may:

  • Be required to pay a deposit when booking future appointments
  • Be asked to pay for appointments in advance
  • In extreme cases, may be removed from our patient list

8. Clinic Cancellations

In rare circumstances, we may need to cancel or reschedule your appointment due to:

  • Staff illness or emergency
  • Equipment failure
  • Unforeseen circumstances

In these cases, we will contact you as soon as possible and offer you the next available appointment at no inconvenience to you.

9. Payment of Cancellation Fees

Cancellation fees are payable before your next appointment. Unpaid fees may result in restrictions on future bookings.
