Cancellation Policy

1. Overview

At Dental Hygienist London, we understand that sometimes appointments need to be changed or cancelled. We have implemented this policy to ensure we can continue to provide efficient service to all our patients and minimise wasted appointment time.

2. Booking Deposit

A £30 non-refundable deposit is required at the time of booking to secure your appointment. This deposit is deducted from the total cost of your treatment and the remaining balance is payable at the clinic.

3. Cancellation Notice Period

We require a minimum of 24 hours' notice for any appointment cancellations.

  • Cancellations made with 24+ hours notice: Deposit may be refunded or transferred
  • Cancellations made with less than 24 hours notice: £30 deposit is forfeited (no refund)
  • Missed appointments (no-shows): £30 deposit is forfeited (no refund)

4. Rescheduling Policy

No rescheduling is permitted within 24 hours of your scheduled appointment.

  • Rescheduling requests made with 24+ hours notice: Allowed, deposit transfers to new appointment
  • Rescheduling requests made with less than 24 hours notice: Not permitted — treated as a cancellation with no deposit refund

6. How to Cancel or Reschedule

You can cancel your appointment (or reschedule with more than 24 hours' notice) through:

  • In Person: At the reception desk

Please ensure you receive confirmation of your cancellation. Leaving a voicemail or sending an email outside of business hours does not guarantee receipt before your appointment time.

7. Late Arrivals

We understand that delays can happen. However, to maintain our schedule for all patients:

  • Up to 10 minutes late: We will try to accommodate you, but treatment time may be reduced
  • More than 10 minutes late: Your appointment may need to be rescheduled, and a cancellation fee may apply
  • More than 15 minutes late: Will be treated as a missed appointment

8. Exceptions

We understand that genuine emergencies occur. Deposit forfeiture may be waived at our discretion in cases of:

  • Sudden illness (medical evidence may be requested)
  • Bereavement
  • Accidents or emergencies
  • Severe weather conditions affecting travel

Please contact us as soon as possible in these circumstances, and decisions will be made on a case-by-case basis.

9. Repeated Cancellations

Patients who repeatedly cancel appointments at short notice or fail to attend may:

  • Be required to pay a higher deposit when booking future appointments
  • Be asked to pay for appointments in advance
  • In extreme cases, may be removed from our patient list

10. Clinic Cancellations

In rare circumstances, we may need to cancel or reschedule your appointment due to:

  • Staff illness or emergency
  • Equipment failure
  • Unforeseen circumstances

In these cases, we will contact you as soon as possible and offer you the next available appointment at no inconvenience to you.

11. Deposit Forfeiture

When a deposit is forfeited due to late cancellation, attempted rescheduling within 24 hours, or a missed appointment, no refund will be issued. A new deposit will be required for any future booking.

Missed appointments prevent other patients from receiving care. Each missed appointment represents time our dental professionals could have used to help another patient. This policy helps us:

  • Maintain fair access to appointments for all patients
